Key Responsibilties
- Attend to all customer inquiries, requests and purchase orders (via phone, e-mail, fax or web-portal).
- Operate SAP system to create quotations, order confirmations, proforma invoices, delivery notes, and invoices in accordance to customer requirements and company guidelines.
- Follow-up on open quotations and order confirmations, ensuring that the sales pipeline in SAP is up-to-date and accurate.
- Additional SAP activities include managing discounts and sales campaigns, stock re-allocation, sample management, creating credit/ debit notes, logging shipment discrepancies, and goods return.
- Proactively support sales managers and sales team members where needed.
- Collaborate with logistics colleagues to ensure smooth deliveries and satisfied customers.
- Collaborate with customers and finance department to ensure accurate invoicing and timely payments
- Additional Responsibilities:
- Assist direct manager and salesmen during customer & internal stakeholder visits, and exhibitions.
- Assist direct manager in reviewing operational key figures and process optimization efforts.
- Ensure up-to-date customer records in SAP system.
- Participate in projects and surveys related to customer satisfaction and enhancement of product and service offering
- Documentation of customer complaints and feedback and prepare clear & concise reports for the Technical Department.
- Communicate investigation reports to customers.
- Other general administrative tasks
Job Requirements
- Proven ability to manage and organize tasks efficiently, with exceptional attention to detail and a high level of accuracy.
- Demonstrated experience in providing outstanding customer service, ensuring satisfaction and fostering long-term relationships with clients.
- Minimum of 2-3 years of hands-on experience in customer service and order processing, ensuring smooth and timely order completion
- Comfortable using enterprise software such as SAP for order management and business operations. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) for day-to-day tasks, reporting, and communication.
- Fluent in both spoken and written English and Vietnamese. Chinese language skills are a plus and will be considered an advantage for communicating with regional clients.
